Information we handle

Depending on the school and your role, Smart School handles account identifiers and names, school and class records, student and staff information, attendance, grades, homework, messages, appointments, contact details, school-fee records, and files or photos provided within the app. The camera may be used for school-authorized face-based attendance; reference photos and face-matching data may be processed on the device for this feature.

Location data — school bus tracking

When a bus driver chooses to start a trip and grants while-in-use location permission, Smart School transmits the driver's device location and bus speed to the school service for school administrators and relevant students only while the app is open in the foreground. Sharing pauses when the app is backgrounded, the screen is locked, or the app is closed. It resumes when the driver returns to the app during an active trip. Closing the app does not enable background tracking. The driver can stop sharing with the Stop Trip button and revoke location access in device settings. The app does not request background location access and does not use location for advertising.

For a separate staff attendance check-in feature, device location may be requested while the app is in use to verify that a check-in occurs within the school's permitted area. This check-in also uses only while-in-use location permission.

How information is used and shared

Information is used to run school administration, attendance, communication, learning, finance, and transport features. Data is sent to the application's service to make the relevant features available to authorized school roles; hosting and technical service providers may process information to operate those services. School bus position is shared within the app with the school and relevant student users, not with advertisers. We do not sell personal information. A school may determine which records its staff can enter and manage.

Storage, access, and requests

Some records are held on the school service and some are cached on the device to support the app's operation and limited offline use. Access to school records is controlled by school accounts and permissions. To request access, correction, or deletion of school records, contact your school administrator.
